Club Privacy Notice

This privacy notice explains how we use and look after the personal information we collect from you

We are the data controller, responsible for processing of any personal data you give us. We take

reasonable care to keep your information secure and to prevent any unauthorised access to or use

of it.

What information do we collect about you?

We collect information about you when you become a co-owner, volunteer or season ticket holder

of the club or when you contact the club in a personal capacity for hospitality services or to hire our

function room or other facilities. You provide information about yourself when you register with the

Club and by filling forms at the office or online, or by corresponding with us by phone, e-mail or

otherwise.

The information you give us may include your name, date of birth, address, e-mail address, phone

number, gender, and the contact details of a third party in the case of emergency. We may also ask

for relevant health information, which is classed as special category personal data, for the purposes

of your health, wellbeing, welfare and safeguarding. Where we hold this data it will be with the explicit

consent of the participant or, if applicable, the participant’s parent or guardian.

We may also collect information when you voluntarily complete customer surveys or provide

feedback to us.

Information relating to usage of our website is collected using cookies. Cookies are text files placed

on your computer to collect standard internet log information and visitor behaviour information.

Why do we need to collect and use your personal data?

We will only use personal data for any purpose for which it has been specifically provided.

The primary basis that we intend to use for the processing of your data is for the performance of our

contract or relationship with you. For example, as a co-owner we need to keep you informed about

scheduled meetings and other related matters. As a season ticket holder we need, for example, to

be able to inform you about changes in match arrangements. The information that we collect about

you is essential for us to be able to function as a supporter owned and run football club. Without

collecting your personal data we would be unable to fulfil our obligations.

Where you hire our facilities in a personal capacity we will collect information about you in order

communicate with you about those facilities or services.

If you act as a volunteer we will retain your name and contact details so that arrangements can be

made for you to volunteer for the club.

Where special category data is required we will obtain your explicit consent in order to collect and

process this information. Special category data includes data revealing racial or ethnic origin,

political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric

data to identify an individual and data concerning health, sex life or sexual orientation. We would

not generally expect to process special categories of personal data.

Who might we share your information with?

If you agree, we may email you about other products or services that we think may be of interest to

you.

For match tickets, including season tickets, we use the services of Eventim UK Limited. In order to

provide these services your personal data will be passed to them for ticket applications and season

ticket purchases to be made.

We will not share your information for marketing purposes with other organisations.

Your details may be seen by those that we engage for professional accountancy or legal services.

Where third parties are involved in processing your data we will have a contract in place with them

to ensure that the nature and purpose of the processing is clear, that they are subject to a duty of

confidence in processing your data and that they will only act in accordance with our written

instructions.

Where it’s necessary for your personal data to be forwarded to a third party we will use appropriate

security measures to protect your personal data in transit through secure transfer of files.

How long do we keep hold of your information?

Your personal data should not be held for longer than is required under the terms of our contract or

relationship with you. In any case, we will not retain your personal data for longer than specified in

our data protection policy.

You have the right to request deletion of your personal data. We will comply with this request,

subject to the legal obligations we may have to retain it.

How can I access the information you hold about me?

As a data subject you have the right to request a copy of the information that we hold about you. If

you would like a copy of some or all of your personal information please email or write to us using

the contact details noted below.

When your personal data is processed by automated means you have the right to ask us to move

your personal data to another organisation for their use.

We have an obligation to ensure that your personal information is accurate and up to date. Please

ask us to correct or remove any information that you think is incorrect.

Marketing

We would like to send you information about our products and services which may be of interest to

you. If you have agreed to receive marketing information, you may opt out at a later date.
